Why we use it and our lawful bases
We use information to respond to requests and provide agreed services, take steps before entering a contract, operate our legitimate recruitment and business interests, meet legal obligations and establish or defend legal claims. We use consent for optional marketing, which can be withdrawn at any time. We do not make solely automated decisions with legal or similarly significant effects.
Who receives information
We use vetted service providers including Supabase for secure records, Google Workspace/Sheets for authorised operational records, Zoho Mail for email, Cal.com for scheduling, Stripe for payments and Vercel for website hosting. We may share relevant candidate information with a prospective employer only for a genuine recruitment purpose and with appropriate transparency. We may disclose information where required by law. We do not sell personal information.
International processing
Some suppliers may process information outside the UK. Where required, we use adequacy regulations, the UK International Data Transfer Agreement or approved contractual safeguards. Contact us for information about the safeguards relevant to your data.
How long we keep information
- Candidate and agent registrations: normally 12 months from registration or last meaningful contact, then reviewed or deleted unless continued retention is agreed or required.
- Employer registrations and recruitment records: normally 24 months after the relationship or assignment ends.
- General enquiries: normally 12 months after closure.
- Contracts, invoices and payment records: normally six years for tax, accounting and legal purposes.
- Marketing preferences: until consent is withdrawn, plus a suppression record where needed to respect that choice.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or object to processing. You may withdraw consent at any time. Email hello@rksagency.co.uk. You may also complain to the Information Commissioner’s Office.
Security and sensitive documents
Do not send passport numbers, bank details or document scans through the public contact form or WhatsApp. We will provide an approved secure method if documents are genuinely required.
